Program Overview
The Latino Medical Student Association Southwest Region Conference & Exhibition will accept abstracts of case reports and original research for presentation.

General Guidelines
  • By submitting an abstract to the LMSA Southwest Regional Conference and Exhibition, submitters agree to present their work if accepted. The decision regarding acceptance and presentation format is final and binding.
  • If you’re unable to present, you must withdraw your abstract. Failure to present or formally withdraw by the deadline may result in a two-year submission ban for all authors listed on the abstract. To withdraw, please email your request to [email protected] no later than January 24, 2025, at 11:59 PM CST.
  • All presenting authors, whether for oral presentations or posters, are required to register and attend the 2025 LMSA Southwest Regional Conference in person in Aurora, Colorado. Presenters are responsible for their own registration fees and travel arrangements.
  • All accepted submissions will be made available to conference attendees and the public.
  • Health professionals from any field are welcome to submit abstracts. Please note that some programs may have membership or sponsorship requirements for submission.
Prior Presentation
All submissions must disclose information about any prior presentations or publications. Please refer to the program-specific guidelines for any restrictions. For the purposes of describing prior presentations, the following definitions will apply:​
  • Original: The first presentation of this work or data.
  • Encore: The original data are reproduced with only minor changes, such as formatting, word count, or other trivial modifications, for presentation at multiple conferences.
  • Adaptation: The content overlaps with the original but includes new or additional data, analyses, and/or interpretations.
Submission Content
  • Submissions are permitted in only one section or council program. Duplicate submissions will result in automatic rejection.
  • Abstract text is limited to 500 words.
  • Abstracts will be published exactly as submitted, without copyediting by LMSA Southwest. Submitters are responsible for thoroughly reviewing and ensuring accuracy before submission, as no edits or updates will be allowed after submission.
  • Up to two images and/or tables are permitted (file formats: JPG, PNG, BMP). Image content, text, and captions do not count toward the word limit.
  • The submitter will act as the primary contact during the submission process. Once an abstract is accepted, the presenting author will take over as the primary contact.
  • Only individuals may author a submission. Study groups are not permitted as authors and will be removed.
  • It is highly encouraged that all authors meet the definition of authorship as outlined by the International Committee of Medical Journal Editors (ICMJE).
  • Geographical location and the name of the institution and/or study site may only be included if they are significant variables in the study.
  • Study registration numbers should be included in abstracts, posters, and slides, where applicable.
  • Use only standard abbreviations. Any special or uncommon abbreviations should be spelled out in full the first time, followed by the abbreviation in parentheses.
Author Conflict of Interest / Research Funding Disclosure
All sources of funding for the research must be disclosed in the submission and acknowledged on both posters and presentation slides.
Submission Types
  • Case Report: A scientific documentation of a single clinical observation that enhances knowledge about the clinical manifestations, diagnostic methods, or therapeutic options for a rare or unusual condition/disease.
    • Required Headers: Introduction, Case Description, Discussion, Conclusion

  • Original Research: A systematic investigation designed to generate new knowledge and approaches, utilizing process or outcome variables. If the research involves animal experimentation or human subjects, IACUC or IRB approval numbers must be included in the submission.
    • Required Headers: Background, Methods, Results, Conclusion
Accepted Presentation Guidelines
  • All accepted poster presenters are required to create a poster for display in the designated Poster Hall at the LMSA Southwest Regional Conference. Posters will be organized by topic area.
  • Each poster will be scheduled for presentation on a specific day. Presenters must set up their posters between 8:30 AM CST and 9:45 AM CST on their designated day and remove them between 6:00 PM CST and 6:45 PM CST. Posters left after 6:45 PM CST will be discarded.
  • Presenters will have a designated Q&A session to discuss their work with attendees. This schedule will be shared closer to the conference date.
  • Posters must be horizontally oriented, with dimensions no smaller than 3 feet by 4 feet (36 inches by 48 inches) and no larger than 4 feet by 8 feet (48 inches by 96 inches). Pushpins will be provided.
  • Fonts should be sans-serif (e.g., Arial, Calibri), with a minimum font size of 6pt.
  • All financial relationships and research funding sources must be clearly visible on the poster. If there are no disclosures, the poster must include the statement: “Authors have no financial relationships to disclose.”
  • Only the presenting author is allowed to submit the poster and participate in the onsite Q&A.
  • Changes to presenting authors can be made until the withdrawal deadline on January 24, 2025.
  • LMSA Southwest does not provide onsite printing services. Presenters are responsible for printing their own posters.

  • Any images, tables, figures, or other materials included in the presentation must be the intellectual property of the presenting author(s), unless explicit permission has been obtained.
  • The presenting author is responsible for ensuring full compliance with copyright regulations.
